PURPOSE OF THE JOB

The Executive of Operations (XPO) serves in support of the Lead Pastor in the administration and oversight of the operational functions of the church (Finances, Stewardship, IT, HR, Facilities/Business/Development) and will serve on the Executive Leadership Team.

EXPERIENCE AND KNOWLEDGE REQUIRED

  • Bachelor's degree. Master's degree preferred
  • Proven operational leadership
  • Knowledge of Apple OS
  • Proficiency in Excel and Word for reporting
  • Experience in problem solving
  • Must have a strong financial acumen and excellent systems skills
  • Must have strong organizational skills, be able to prioritize and multi-task using good time management skills in a fast paced environment
  • Must demonstrate exceptional interpersonal skills
  • Exceptional organizational skills with a particular emphasis on follow through and attention to detail

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

Financial/Stewardship

  • Act as a liaison for all fiscal activities working directly with the Trustees.
  • Maintain good accounting records
  • Assist in identifying budget line item overages, determining causes, and developing financial policies to assure adherence
  • Initiate annual budget preparation
  • Track budget with department heads throughout the year
  • Ensure Sunday morning collection of offering procedures are clear and secure
  • Ensure banking operations are managed properly
  • Serve as central purchasing agent for office supplies and equipment. For large purchases, perform price comparisons, secure bids, prepare proposals and provide recommendations
  • Provide final authority in any day-to-day purchases, investment and financial decisions
  • Give directional oversight along with the ELT to any all-church generosity initiatives
  • Provide up-to-date, easy to use resources for our church to be informed on giving

IT/Office Management

  • Oversee the Information Services
  • Develop Information Services plan for the church, including purchasing, installing, upgrading, and maintaining equipment needed to operate in the most efficient and cost-effective way possible. (ie Computers, phones, printers, etc)
  • Set policies and guidelines for use of all church-owned computer and technical equipment
  • Oversee and manage all leased office equipment and negotiate for best prices
  • Maintain an excellent and informed first impression environment for all guests and attenders of Victory Church during the work week

Human Resources:

  • Recruit, interview, hire, train, supervise, evaluate, and terminate department support staff, in consultation with Executive Leadership Team
  • Oversee the Orientation and Onboarding (O&O) of all hired employees
  • Oversee contracted personnel and special service personnel
  • Management of benefits for employees
  • Maintain current job descriptions for all staff members
  • Attend to circumstances where support staff performance is less than satisfactory 
  • Coordinate Serve Team Members as needed
  • Facilitate annual performance reviews for Staff and make recommendations for salary increases
  • Facilitate annual review of health benefit and employee benefits

Facilities & Business/Development:

  • Coordinate with Building and Grounds Teams to maintain all church property in good condition
  • Authorize necessary repairs to be done in the most economical manner and within the limitations of the church budget
  • Report to the Lead Pastor and appropriate teams any extraordinary maintenance required and make recommendations for action to be taken
  • Direct facility maintenance personnel to see that the church buildings at all campuses locations and grounds are maintained to standards of cleanliness and appearance that benefits the status of this church in the community
  • Oversee the use of church facilities to groups or organizations approved by the Lead Pastor and coordination of the church's master calendar
  • Work to develop procedures and guidelines for the use of church property and oversee the adherence to these guidelines
  • Ensure an accurate inventory of all equipment (furniture, office equipment, fixtures, etc.)
  • Keep abreast of all laws and regulations affecting church property
  • Oversee security of the grounds
  • See that all keys are kept secure via implementation of key checkout system
  • Evaluate annually all outside contractors (ie janitorial, lawn care, snow removal, etc)
  • Responsible to supervise all hired contractors to assure the job is being done in a safe, timely, wise and fiscally prudent manner according to the contract and in a least disruptive manner. Be sure all necessary governmental permits have been secured and are honored
  • With the ELT, lead discussions and evaluations of any future building purchases, construction, etc.
  • Evaluate annually insurance premiums and adequate coverage for all facilities as needed
  • Oversee all Capital Building projects
